Assessment Task 2: Report writing

Part A: This is a report writing task where you are required to read the brief given and use the templates provided to create a report. You are required to refer to the points listed in the task and complete the report. The report writing will be done individually, however for the requirement as per the brief is carried out with 2 partners to get approval and conclude the report. The Assessor will divide the class into groups of 3 for conclusion of the assessment task.

Part B: After completing certain sections of the report writing, you will be required to complete a short role play to conclude the project.

Part C: After completing both the parts of the assessment, you are required to write a report  considering all the points mentioned in Part C.

Part A:

Imagine you (Andrew) are the owner of a café in Hobart’s CBD with two other partners named (Brian and Cathy). Due to the extremely high rent, you are no longer able to afford to run the business, so you consult with an expert who will advise you on how to run the business successfully. The expert suggested that you move to a suburb where the rent is affordable. You and your partners like the idea and decide to move to a new location, but before moving you must prepare a report considering the points listed below.

1. Briefly introduce your project by defining the parameters/scope of the project, including:

– Project name; – Project period;

– Project objectives;

– Project stakeholders;

– Project budget; and

– Resource requirements and allocation.

2. Break down your project objectives by creating milestones and drawing a Gantt chart to represent the following:

– Deliverables;

– Work breakdown;

– Budget and allocation of resources;

– Timelines;

– Risk management; and – Recordkeeping and reporting.

3. Identify one (1) Work Health and Safety (WHS) related risk and create a risk management matrix to record your strategies including responsibilities to manage these risks.

4. Develop a project budget and discuss it with your partners(Assessor divides the class into groups of 3) for approval.

5. Complete the project documentations template such as Project Plan template , Project budget approval template  and Project responsibilities template (Appendix 3) You must get these signed-off from your partners to conclude the project and gain approval.

Part B:

During the role play each and every student from the group will be required to play the role of Andrew where they will lead the meeting and get the necessary approvals.

Students are required to discuss with their partners whether they are clear about their responsibilities and project requirements and consult with them regarding the next step in the planning process.

Part C:

You and your partners have found a new location to open your café but before opening the business you need approval from the council. Once you’ve gained approval to open the café, the next step is to implement and monitor the plan. You and your partners must implement the project plan and monitor it by writing a report (At least a minimum of 500 words) considering the following points:

1. How can support be provided to the project team members with regards to specific needs, to ensure the quality of expected outcomes of the project and the time lines are met? You must include a plan for any one of the support chosen by you and include any relevant details of how the support will be implemented.

2. Identify three (3) types of data for record keeping. How would you ensure financial record keeping is complete and accurate?

3. Develop three (3) strategies you could use to implement and monitor the plan for managing project finances, resources and quality.

4. Review with your partners the project outcomes with your project scope and the plan you prepared in part A- For this part of the assessment task, you are required to have a group discussion with the same set of team as in Part B (Role play) After which, you will mention the same outcome of the discussion in your report.

5. After completing the report, you must forward it to the stakeholder (Assessor)

6. Check your risk management matrix prepared in Part A and ensure your project outcomes are met and deliverables are achieved.
